Better task writing
How to write clear and actionable tasks
Turn vague project notes into tasks that are easier to start, hand off, review, and finish.
A task should tell someone what changes
Short task titles are useful, but they can become too vague. Homepage, analytics, or client feedback may remind the writer what they meant, but another person still has to ask what to do.
Start with a verb and name the visible result. Publish the revised homepage headline is clearer than homepage copy because it tells the reader what action should be completed.
Include the reason when it affects the work
A short explanation helps people make better decisions while doing the task. If the goal is to make the offer clearer for first-time visitors, say so. The reason can guide small choices without another meeting.
Do not turn every task into a long brief. Include only the context that changes how the work should be approached or reviewed.
Define what done means
Two people can read the same task and imagine different finish lines. Add a simple completion condition when that confusion is likely. For example: the new headline is published on mobile and desktop, and the old version is saved in the experiment notes.
A completion condition is especially useful when work moves between strategy, design, development, and client approval.
Split work that cannot move as one action
If a task contains several owners, approvals, or separate deliverables, it may be a small project rather than one action. Break it at the points where responsibility or status can change.
Keep related actions under the same weekly outcome. This preserves the bigger story without hiding several days of work inside one checkbox.
Examples of stronger task titles
Use these patterns as a starting point, then adapt them to the real work:
- Replace website updates with publish the approved pricing-page proof section.
- Replace analytics with confirm that demo-form submissions reach the conversion report.
- Replace client feedback with group the client's notes into changes, questions, and later ideas.
- Replace improve onboarding with remove the first-step field that is not used during activation.
- Replace SEO fixes with add unique page titles to the five service pages missing them.
